Getting Started

Complete Volunteer Registration

The Team Manager role requires volunteer registration & a couple of other steps, as required by USA Hockey.

Team Setup

There are a few tasks you'll need to handle right away when you're assigned the role, as follows:

  • Work with the Equipment Coordinator to get jerseys for the team. Tip: ask parents for their player's top 3 preferred jersey numbers
  • Assist coach in assigning a Locker Room Monitor for the team.
  • Set up a team meeting for the coach to review parent & player expectations and discuss the season.
  • Create a Pocket Roster for the parents. A Pocket Roster is a small card that has the players and their numbers: this makes it easier for everyone to remember names and cheer! Use the Excel file below and fill out the top left form--the rest will auto-populate.

During the Season

Home Game Parent Assignments

Each home game will require parents (excluding coach families) to staff the following roles:

  • Gamesheet Scorekeeper
  • Scoreboard/Clock/Music
  • Home Penalty Box
  • Away Penalty Box (in case the other team doesn't provide a parent)

These assignments can be added directly to each home game in Crossbar. It is generally best to let parents volunteer (due to schedule conflicts), but you can assign roles if it becomes an issue. See Parent Resources section for details on these roles.

Confirm Practice & Games and Update Crossbar

Coordinate with the Coach, Ice Scheduler, and opposing teams to ensure that the team's schedule is up-to-date.

  • Don't make any changes to the schedule without working with the Ice Scheduler.
  • Review Crossbar schedule and update with any changes ASAP: Parents live by the Crossbar calendar.
  • Don't forget about officials for any changes to home games. Coordinate with the Officials Coordinator.

Serve and primary point of communication for team

You have two tools at your disposal for communication: email and Crossbar. Whichever method you pick for communicating with the team, ensure you let the parents know, and stick to that for consistency.

It is helpful to send a communication to parents on Sundays outlining activities in the week ahead. See the sample Team Email below.

Track WAHA Patches Earned

Players have the opportunity to earn the following patches through WAHA:

  • Hat Trick (3 goals in a game)
  • Playmaker (3 assists in a game)
  • Shutout (For goalie, no goals allowed in a game)

Track the players who have earned the patch and turn in the results to the Tournament Director at the end of the year

Coordinate Team Functions

  • Fundraising. Distribute and collect fundraising materials.
  • Pictures. Distribute photos.
  • Team Events. Schedule a potluck in-between home games at the rink, a team dinner at a restaurant, or something else. Team bonding is an important part of the youth sports experience.

End of Season

Turn in WAHA Patches Earned

Give the Tournament Director your list of WAHA patches earned: the scoresheets from each game a patch is earned must be provided along with this list.

End of Year Celebration & Recognition

  • Schedule a team event (e.g., bowling) to celebrate a a successful season.
  • Organize a thank-you gift for the coach(es) by coordinating a dollar amount contribution with the parents.

Turn in jerseys

Collect the jerseys from all players: the Equipment Manager will communicate a date/time for you to turn them in.
